Kazarma Consulting ("we", "us") is committed to protecting your personal data and respecting your privacy. This privacy statement explains, in clear terms, how we collect, use, store and protect your personal data when you visit our website or interact with us.

1. Who we are

Kazarma Consulting is a consulting company providing professional services to its clients. We act as the data controller for the personal data collected through this website and in the context of our marketing and business development activities, in line with the General Data Protection Regulation (GDPR).

If you have any questions about this privacy statement or how we handle your data, you can contact us at:

  • Email: marcel (at) kazarmaconsulting.eu

  • Postal address: Terhagenstraat 24, 3440 Zoutleeuw, Belgium

2. What data we collect

We may collect and process the following categories of personal data:

  • Identification and contact details (such as name, job title, company, email address, phone number).

  • Communication data (content of messages you send us via forms, email or other channels).

  • Marketing preferences (your choices about receiving newsletters and other communications).

  • Technical and usage data (such as IP address, browser type, pages visited, date and time of access), usually collected via cookies or similar technologies.

We do not intentionally collect special categories of data (such as health data, political opinions, religious beliefs) through this website or any of our other activities.

3. How we use your data and legal bases

We process your personal data only when we have a valid legal basis under GDPR and for specific purposes, including:

  • To respond to your requests or inquiries when you contact us via forms, email, LinkedIn or other channels (performance of a contract or steps prior to entering into a contract).

  • To manage our relationship with you as a client, prospect or partner (performance of a contract and legitimate interest).

  • To send you newsletters, updates, invitations to events, surveys or other commercial communications, when you have given your consent or where our legitimate interest allows it and local law permits it.

  • To improve our website, services and user experience (legitimate interest in running and improving our business).

  • To comply with legal obligations, such as record-keeping or responding to lawful requests from authorities (legal obligation).

4. Marketing communications, newsletters and surveys

We may use your contact details (for example your email address) to:

  • Send newsletters and updates about our services and activities.

  • Invite you to participate in surveys, events or webinars.

  • Send other commercial or promotional messages related to Kazarma Consulting's services.

You will only receive such communications if:

  • You have given us your explicit consent (for example by ticking a box on a form), or

  • You are an existing client or contact and the communication is relevant to services you have shown interest in, in line with applicable law.

You are always in control of your marketing preferences. You can unsubscribe at any time by:

  • Clicking the "unsubscribe" link in any email we send you, or

  • Contacting us using the contact details in section 1.

We will honor all unsubscribe or opt‑out requests as soon as reasonably possible (for unsubscribe option in mails or newsletters, this is instantly). Once you unsubscribe, we will stop sending you marketing communications, although we may still contact you for non‑marketing purposes (for example about an ongoing contract or legal obligations).

5. How we share your data

We do not sell your personal data. We may share your personal data with:

  • Service providers who support our business (for example, email delivery, customer relationship management, analytics or IT hosting providers), under written contracts and subject to confidentiality and security obligations.

  • Professional advisers (such as lawyers, accountants) when necessary for legitimate business or legal reasons.

  • Public authorities or regulators when required by law or to protect our rights.

When we use service providers outside the European Economic Area (EEA), we take appropriate safeguards to protect your data, such as using standard contractual clauses approved by the European Commission or ensuring that an adequate level of protection is in place.

6. Data retention

We keep your personal data only for as long as necessary for the purposes described in this statement, including:

  • For the duration of our relationship with you and for a reasonable period afterwards to comply with legal or regulatory requirements and to resolve disputes.

  • For marketing purposes, until you withdraw your consent or object to processing, or until the data is no longer needed for this purpose.

When data is no longer needed, we will delete it or anonymize it in a secure manner.

7. Your rights under GDPR

Under GDPR, you have several rights regarding your personal data, subject to certain conditions and exceptions:

  • Right of access: to obtain confirmation that we process your data and to receive a copy of it.

  • Right to rectification: to have inaccurate or incomplete data corrected.

  • Right to erasure ("right to be forgotten"): to request deletion of your data in specific situations.

  • Right to restriction of processing: to request that we limit how we use your data in certain cases.

  • Right to data portability: to receive your data in a structured, commonly used, machine‑readable format and to transmit it to another controller where technically feasible.

  • Right to object: to object at any time to processing based on our legitimate interests or to direct marketing.

  • Right to withdraw consent: where we rely on your consent, you can withdraw it at any time. This will not affect the lawfulness of processing before withdrawal.

To exercise any of these rights, please contact us using the details in section 1. We may need to verify your identity before responding.

You also have the right to lodge a complaint with your local data protection authority if you believe your data protection rights have been violated. In the EU, you can find contact details of supervisory authorities on the website of the European Data Protection Board.

8. Security of your data and data sovereignty

We use appropriate technical and organizational measures to protect your personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access. These measures include access controls, secure systems, and regular reviews of our security practices. However, no system can be completely secure, and we cannot guarantee absolute security of your data.

We care about strong digital security and European data sovereignty. We aim to use tools and service providers that apply robust security standards and, where possible, are based in the European Union or offer data hosting within the EU. For example, for email and newsletter communication we may use MailCoach by Spatie, and for surveys we may use LimeSurvey, both configured to support GDPR‑compliant data handling. We regularly review our tools and providers to maintain a high level of protection for your personal data and to limit unnecessary transfers of data outside the EU.

9. Cookies and similar technologies

Our website may use cookies or similar technologies to:

  • Ensure the site functions properly.

  • Understand how visitors use the site and improve performance.

  • Support marketing and analytics activities.

Where required by law, we will ask for your consent before placing non‑essential cookies on your device. You can manage your cookie preferences through your browser settings or through the cookie banner, where available. For more details, please refer to our separate Cookie Policy, if provided.

10. Changes to this privacy statement

We may update this privacy statement from time to time, for example to reflect changes in our services or legal requirements. When we do, we will change the "last updated" date below. We encourage you to review this statement regularly.
